Presentation Design Guide: How to Summarize Information for Presentations

Bad presentations. We’ve all had to sit through them.  Heck, we’ve probably all given one or two. I know I have.

You know the type: twice as long as they need to be, slides chock-full of text, no visuals in sight. 

How can you ensure you don’t fall victim to these presentation faux-pas when designing your next presentation for your team, class, or clients?

According to David Paradi’s annual presentation survey , the 3 things that annoy audiences most about presentations are:

The common thread that ties all of these presentation annoyances is text. Audiences are very picky about the text found in presentation slide decks .

In my experiences speaking at conferences and in webinars over the past few years, audiences respond much more positively to presentations that use visuals in place of text.

Audiences are more engaged, ask more questions, and find my talks more memorable when I include lots of visual examples in my slide decks. 

I’m not the only one who has found this. We recently surveyed nearly 400 conference speakers about their presentation designs and found that 84.3% create presentations that are highly visual.

A great example of a high visual presentation is the iconic AirBnB pitch deck design , which includes no more than 40 words per slide. Instead of repeating the speaker’s script on the slides, it makes an impact with keywords, large numbers, and icons:

To help you take your presentations to the next level, I’d like to share my process for creating a visually-focused presentation like the one above. I’ll give you my top presentation design tips that I’ve learned over years of presenting:

We’ll cover the most important steps for summarizing lengthy text into a presentation-friendly format. Then we’ll touch on some pre sentation design tips to help you get visual with your slide decks. Read on for the best creative presentation ideas.

How to summarize (and organize) information for presentations

1. identify one core message to center your presentation design around.

We know from David Paradi’s survey that audiences are easily overwhelmed with lots of text and data, especially when presentations are long.

So unlike in a white paper , report , or essay, you can’t expect to tackle many complex ideas within a single presentation.

That would be a recipe for disaster.

Instead, identify a single central message that you would like to communicate to your audience. Then build your presentation around that core message.

By identifying that core message, you can ensure that everything you include in your presentation supports the goal of the presentation .

As seen below, a great presentation tells you exactly what you’re going to learn (the core message), then gets right to the facts (the supporting information).

To ensure you create an asset that’s clear, concise, impactful, and easy to follow, design your presentation around a single core message.

2. Create a strong presentation outline to keep you focused

Think of your outline like a roadmap for your presentation. Creating a strong presentation outline straight away helps make sure that you’re hitting all of the key points you need to cover.

Creating a presentation outline makes it much easier to know what to say when it comes to creating the actually presentation slides.

3. Eliminate any information that doesn’t support the core message

Next, use that core message to identify everything that doesn’t belong in the presentation.

Aim to eliminate everything that isn’t immediately relevant to the topic at hand, and anything remotely redundant. Cut any information that isn’t absolutely essential to understanding the core message.

By cutting these extra details, you can transform forgettable text-heavy slides:

Here’s a quick checklist to help you cut out any extra detail:

Get rid of:

This step may seem obvious, but when you’re presenting on a topic that you’re passionate about, it’s easy to get carried away with extraneous detail. Use the recommendations above to keep your text in check.

Clarity is key, especially if you’re presenting virtually rather than in-person. However, Lisa Schneider (Chief Growth Officer at Merriam-Webster) has had plenty of experience making that adjustment. She recently shared her tips for adapting in-person presentations into virtual presentations on Venngage that you can check out. 

4. Use text to reinforce, not repeat, what you’re saying

According to presentation guru  Nancy Duarte , your audience should be able to discern the meaning of your slides in 6 seconds or less.

Since your audience will tend to read every word you place on each slide, you must keep your text to an absolute minimum. The text on your slides should provide support for what you’re saying without being distracting.

Never write out, word for word, what you’re going to be saying out loud. If you’re relying on text to remember certain points, resist the urge to cram them into your slides. Instead, use a tool like Venngage’s speaker notes to highlight particular talking points. These can be imported into PowerPoint — along with the rest of your presentation — and will only be viewable to you, not your audience.

For the actual slides, text should only be used to reinforce what you’re saying. Like in the presentation design below, paraphrase long paragraphs into short bulleted lists or statements by eliminating adjectives and articles (like “the” and “a”).

Pull out quotes and important numbers, and make them a focus of each slide.

5. Design your presentation with one major takeaway per slide

As I mentioned above, audiences struggle when too much information is presented on a single slide.

To make sure you don’t overwhelm your audiences with too much information, spread out your content to cover one major takeaway per slide.

By limiting each slide to a single simple statement, you focus your audience’s attention to the topic at hand.

My favorite way to do this is to pick out the core message of whatever I’m talking about and express it in a few keywords, as seen in this presentation slide below.

This helps ensure that the visuals remain the focus of the slide.

Using the text in this way, to simply state a single fact per slide, is a sure-fire way to make an impact in your presentation.

Alternatively, pull out a significant statistic that you want to stick in your audience’s minds and make it a visual focus of the slide, as seen in this popular presentation by Officevibe .

This might mean you end up with a slide deck with a ton of slides. But that’s totally ok!

I’ve talked to many professionals who are pressured by their management teams to create presentations with a specific number of slides (usually as few as 10 or 15 slides for a 30-minute presentation).

If you ask me, this approach is completely flawed. In my mind, the longer I spend sitting on a single slide, the more likely I am to lose the interest of my audience.

How many slides should I use for a 10 minute presentation?

A good rule of thumb is to have at least as many slides as minutes in your presentation. So for a 10 minute presentation you should have at least 10 slides .

Use as many slides as you need, as long as you are presenting a single message on each slide, (as seen in the lengthy presentation template below). This is especially important if you’re presenting your business, or delivering a product presentation. You want to wow your audience, not bore them.

6. Use visuals to highlight the key message on each slide

As important as having one major takeaway per slide is having visuals that highlight the major takeaway on each slide.

Unique visuals will help make your message memorable.

Visuals are a great way to eliminate extra text, too.

You can add visuals by grouping and integrating information into visual frameworks like timelines :

Or by representing simple concepts with icons, as seen in the modern presentation design below. Using the same color for every icon helps create a polished look.

Using visuals in this way is perfect for when you have to convey messages quickly to audiences that you aren’t familiar with – such as at conferences. This would also make the ideal interview presentation template.

You can alternatively use icons in different colors, like in the presentation templates below. Just make sure the colors are complimentary, and style is consistent throughout the presentation (i.e. don’t use sleek, modern icons on one slide and whimsical illustrated icons on another). In this example, presentation clipart style icons have been used.

Any time you have important stats or trends you want your audience to remember, consider using a chart or data visualization to drive your point home. Confident public speaking combined with strong visualizations can really make an impact, encouraging your audience to act upon your message.

One of my personal favorite presentations (created by a professional designer) takes this “key message plus a visual” concept to the extreme, resulting in a slide deck that’s downright irresistible.

When applying this concept, don’t fall into the trap of using bad stock photos . Irrelevant or poorly chosen visuals can hurt you as much as they help you.

Below is an example of how to use stock photos effectively. They are more thematic than literal, and are customized with fun, bright icons that set a playful tone.

The content and visual design of a presentation should be seamless.

It should never seem like your text and visuals are plopped onto a template. The format and design of the slides should contribute to and support the audience’s understanding of the content.

How to make your presentation design more effective

Impactful presenation templates

1. Use scaffolding slides to orient your audience and keep them engaged

It’s easy for audiences to get lost during long presentations, especially if you have lots of slides. And audiences zone out when they get lost.

To help reorient your audience every once in a while, you can use something I like to call scaffolding slides. Scaffolding slides appear throughout a presentation to denote the start and end of major sections.

The core scaffolding slide is the agenda slide, which should appear right after the introduction or title slide. It outlines the major sections of the presentation.

At the beginning of each section, you should show that agenda again but highlight the relevant section title, as seen below.

This gives audiences the sense that you’re making progress through the presentation, and helps keep them anchored and engaged.

Alternatively, you can achieve a similar effect by numbering your sections and showing that number on every slide. Or use a progress bar to the bottom of each slide to indicate how far along you are in your presentation. Just make sure it doesn’t distract from the main content of the slides.

You can imagine using this “progress bar” idea for a research presentation, or any presentation where you have a lot of information to get through.

Leila Janah, founder of Sama Group, is great at this. Her  Innovation and Inspire  talk about Sama Group is an example of a presentation that is well organized and very easy to follow.

Her presentation follows a logical, steady stream of ideas. She seems comfortable talking in front of a crowd but doesn’t make any attempts to engage directly with them.

2. Use text size, weight, and color for emphasis

Every slide should have a visual focal point. Something that immediately draws the eye at first glance.

That focal point should be whatever is most important on that slide, be it an important number, a keyword, or simply the slide title.

We can create visual focal points by varying the size, weight, and color of each element on the slide. Larger, brighter, bolder elements will command our audience’s attention, while smaller, lighter elements will tend to fade into the background.

As seen in the presentation template above, this technique can be especially useful for drawing attention to important words within a long passage of text. Consider using this technique whenever you have more than 5 words on a slide.

And if you really want your audience to pay attention, use a  high-contrast color scheme like the one below.

GET THIS SLIDE TEMPLATE  

When picking fonts for your presentation, keep this technique in mind. Pick a font that has a noticeable difference between the “bold” font face and the “regular” font face. Source Sans Pro, Times New Roman, Montserrat, Arvo, Roboto, and Open Sans are all good options.

The last thing to remember when using size, weight, and color to create emphasis on a slide: don’t try to emphasize too many things on one slide.

If everything is highlighted, nothing is highlighted.

3. Apply design choices consistently to avoid distraction

Audiences are quick to pick out, and focus on, any inconsistencies in your presentation design. As a result, messy, inconsistent slide decks lead to distracted, disengaged audiences.

Design choices (fonts and colors, especially), must be applied consistently across a slide deck. The last thing you want is your audience to pay attention to your design choices before your content.

To keep your design in check, it can be helpful to create a color palette and type hierarchy before you start creating your deck, and outline it in a basic style guide like this one:

GET THIS STYLE GUIDE  

I know it can sometimes be tempting to fiddle around with text sizes to fit longer bits of text on a slide, but don’t do it! If the text is too long to fit on a slide, it should be split up onto multiple slides anyway.

And remember, a consistent design isn’t necessarily a boring one. This social media marketing presentation applies a bright color scheme to a variety of 3-column and 2-column layouts, remaining consistent but still using creative presentation ideas.

4. Split a group presentation by topic

When giving a group presentation it’s always difficult to find the right balance of who should present which part.

Splitting a group presentation by topic is the most natural way to give everybody the chance to attempt without it seeming disjointed.

5. Use a variety of page layouts to maintain your audience’s interest

Page after page of the same layout can become repetitive and boring. Mix up the layout of your slides to keep your audience interested.

In this explain the designer has used a variety of combinations of images, text, and icons to create an interesting and varied style.

There are hundreds of different combinations of presentation layers and presentation styles that you can use to help create an engaging presentation. This style is great for when you need to present a variety of information and statistics, like if you were presenting to financial investors, or you were giving a research presentation.

Using a variety of layouts to keep an audience engaged is something that Elon Musk is an expert in. An engaged audience is a hyped audience. Check out this Elon Musk presentation revealing a new model Tesla for a masterclass in how to vary your slides in an interesting way:

6. Use presentation templates to help you get started

How to deliver an impactful presentation

What makes a presentation memorable?

It usually comes down to three things:

But how the presenter delivers their presentation and what visuals they use can vary drastically while still being effective. There is no one perfect presentation style, or presentation design.

Here are some top tips to consider to help you deliver an impactful presentation:

1. Include examples of inspiring people

People like having role models to look up to. If you want to motivate your audience, including examples of people who demonstrate the traits or achievements, or who have found success through the topic you are presenting.

2. Dedicate slides to poignant questions

While you might be tempted to fill your slides with decorative visuals and splashes of color, consider that sometimes simplicity is more effective than complexity. The simpler your slide is, the more you can focus in on one thought-provoking idea.

3. Find quotes that will inspire your audience

A really good quote can stick in a person’s mind of weeks after your presentation. Creating a slide that features a quote can be a nice way to either begin or finish off your presentation.

4. Emphasize key points with text and images

When you pair concise text with an image, you’re presenting the information to your audience in two simultaneous ways. This can make the information easier to remember, and more memorable.

Use your images and text on slides to reinforce what you’re saying outloud.

5. Label your slides to prompt your memory

Often, presenters will write out an entire script for their presentation and read it off a teleprompter. The problem is, that can often make your presentation seem  too  rehearsed and wooden.

But even if you don’t write a complete script, you can still put key phrases on your slides to prompt jog your memory. The one thing you have to be weary of is looking back at your slides too much.

Audiences don’t want to watch presentations with slides decks jam-packed with text. Too much text only hurts audience engagement and understanding. Your presentation design is as important as your presentation style.

Look—presenting information to other human beings without slowly (or quickly) starting to look like you dove headfirst into the deep end of your community pool is hard enough. We’ve all been there. We get it.

That’s why this guide exists. Treat it as a cheat code to better presentations. We’ll cover all things slide design—tips, examples, and tools you can use to make your next presentation look good (no complicated game controller combos required).

There are a million different things you can do when designing a presentation. That’s the challenge. You’re in the center of a maze, and if you spin around you’ll see twenty pathways. Each one of these takes you to twenty more, and on and on and on.

Let’s start with some basic pillars of great presentation design: purpose, narrative, content, cohesion, and delivery. Everything that comes after rests on top of these building blocks.

Even though we’re talking about five pillars, purpose might be the most important one. Or, at least the deepest dug, supporting everything else.

Without a purpose for your presentation, there is no hope. That sounds grim—because it is. 

Go to the grocery store with no list, and what happens? A $100 overdraft charge and seven pounds of crab cakes with a “Sell by” date of tomorrow. Dive into a presentation with no purpose, and you have a similar theme: sadness.

Start simple—what type of presentation are you making? Is it a quarterly review? Sales report? Pitch? Perhaps you’re the keynote speaker at a once-every-three-years global conference? (Okay, hotshot.)

Figure out what kind of presentation you need. That informs its purpose. Then, factor in your audience. Who are you speaking to, and what do you want them to gain from this soon-to-be beautifully visualized information sharing session?

That brings us to . . .

Say you’re crafting a pitch presentation. Your purpose is to inform and persuade investors to finance your product. This gives you what you need to develop your theme: “XYZ product isn’t just showy, it makes users’ lives easier.”

Great. Now, like any good writer or painter or filmmaker , your job is to develop this theme over the course of your narrative, A.K.A. the overarching journey of your presentation.

You’ll pepper this narrative journey with elements of storytelling . For example: Where you were when you had your big idea is a story that supports your larger narrative—how it all started, why it matters, and where it’s going.

Make sure there’s conflict. Take it from famed screenwriter Syd Field : “All drama is conflict. Without conflict, you have no action; without action, you have no character; without character, you have no story; and without story, you have no screenplay.”

A presentation that’s all sunshine and rainbows is a presentation that lacks realism. And, just like moviegoers don’t want to spend $20 to see a movie where everything is wonderful and nothing could be better, your audience wants engaging information that’s rooted in conflict. 

Because, that means it’s real.

Your product will change the world because it’s solving a real-world problem , and guess what? You’ve faced problems of your own in getting said product off the ground. They were A, B, and C, and you solved them by . . .

Here’s where we get designer-y (author’s choice—that’s a word today). You know your purpose, you understand how that purpose creates a theme, and you see how to develop this theme through narrative.

Now, you need awe-inspiring content. This is where design choices start to have an effect. Your job is to make the complexity of presentation design look simple. No sweat, right?

Your visual content should complement your message and help an audience understand exactly what you want them to take away from your presentation.

Cohesion is of the utmost importance when crafting a presentation. The easiest way to achieve visual cohesion is to keep your design on-brand. Be it personal or business, use images, colors , and fonts that represent you.

And if you don’t have those? Decide upon them. Then use them.

If purpose is the deepest pillar, this is the . . . not so deepest . . . if only because it’s the last pillar to consider. We’re not talking about you talking —that is important, but in terms of presentation design, delivery is about slide layout.

How you’re using content, how you’re creating cohesion, and how you’re layering slides and building narrative—that’s your delivery. 

It’s a tall task, for sure. Each pillar seemingly heavier than the last.

Note: There’s no shame in starting with a template, nor do you need to spend hours finagling with PowerPoint or Google Slides. Just grab one that’s right for your presentation type, then customize it to match your brand and flaunt your info. 

1. Use Presentation Slides as a Complement to an Outline

 A 2018 study found that only 20% of people finish reading an article online. What’s worse, the average visitor in the study would only read 25% of an article. 

If you’re still with us—thanks. We’re well past the 25% point.

We bring this up because presentation slides aren’t meant to be inundated with information, at least not via words (more on this soon). 

That’s what your outline is for. It’s the notes you put together in tandem with your presentation. No one will see it but you, so, unlike your presentation layout, it can look like a house of horrors as long as the only one experiencing the terror is you ( and you can still decipher it).

Think of an outline as your pseudo-script. Maybe not word for word what you’ll say, but the map for your entire presentation (like speaker notes), with each gorgeous presentation slide backing up your words.

2. Create Narrative Progression from Beginning to End

Narrative progression means using storytelling to develop your theme and strengthen the overall journey of your presentation. 

In the example above, the first slide introduces “perfecting a pitch,” the second slide expands the topic with general tips, and the third slide dives into more specific advice. There’s a steady and progressive unpacking of information. 

3. Corral Your Colors and Fonts

Reel in those colorful and scripty design elements .

Two complementary colors are more than enough, and if you opt for extra, make sure there’s a reason behind it (intentional flashiness, a third color used for emphasis, etc.)

Same goes for fonts—keep ‘em under control. Using too many fonts creates reader confusion. Sans serif and simple serif fonts are easy to read. 

Also, “easy to read” doesn’t translate to “boring.” If you crave extra fonty flavor, learn how to pair your fonts . Not only does it look good, but it’s a simple way to create visual interest.

If you do this, use one font in your slide headings, and the other in the body copy. Keep it consistent throughout your presentation slide design.

  4. Cut Text Like It’s the Last Piece of Pie

It’s the day after Christmas. There’s one piece of pie left and, in a moment of charity (or foolishness), you decide to share it with the entire family. Good for you. 

That single piece of pie is sliced into tiny slivers, each one put on its own plate.

Cut to now. You’re making a presentation. You notice a heavy paragraph full of ideas, and it’s hanging out on a single slide . . .

. . . share it with the rest of your presentation. Give each slide its own [singular] idea. This makes your information digestible. Maybe a few slides merit more than one sentence. Fine. So long as they support one idea, concept, point, etc.

5. You’re Not Presenting a Resume

Lose the bullet points. They’re an eyesore and a recipe for subconsciously adding way too much information to a single slide. 

“But, but . . . I use bullet points to break everything up!” Nice. So, why are there seventeen of them?

If you want to “bullet” out sentences, use graphics or icons as separators. They’re more interesting.

6. If There Is an Opportunity for Dynamic Visuals, Take It

To a degree. Viewers retain 95% of a message from video compared to 10% from reading. Strike a conversation with any content marketer and they’ll pile on the merits of creating video content .

There’s a reason YouTube has over two billion monthly active users .

If you have a thematically relevant and omnipotent piece of video content, then consider using it. Same goes for animation . A bit of dynamism isn’t a bad thing.

Unless you overuse it. Don’t stuff your presentation full of videos, don’t overload it with animation, and certainly don’t mix and match. This isn’t 8th grade U.S. History, where fading in Thomas Jefferson’s greatest accomplishments might take you from a B+ to an A-. 

7. Make Your Presentation Design Reflect Your Brand

We’ve harped on this already, and it’s worth repeating—the easiest way to keep your presentation consistent is to maintain its brand focus. Dig into that wondrous brand kit of yours ( or make one ), where all your glorious design elements exist.

There are plenty of times to experiment with new looks and tonal pivots. But, the quarterly sales meeting with the executive leadership team is probably not one of them.

8. Help Your Audience by Creating Visual Hierarchy

Visual hierarchy is about arranging your design elements in a way that shows their order of importance. Sure, you should be using as little text as possible on your slides, but that short chunk of text is there to be read, yeah? 

Text size, colors , spacing, texture, style, and contrast all play a role in crafting airtight visual hierarchy. First off—limit yourself to a single image, illustration , or chart. Use multiple and you’re leaving your audience to guess what’s most important.

Heading text should be bigger than body text. This creates contrast. Same deal with colors—does a vibrant red against a soft white direct your viewers’ eyes? 

Tell your viewers where to look . . . without telling them anything at all.

1. Open a Presentation Template

2. Customize the Design

Use the left tabs to customize your design however you want. 

Swap images and text with your own (you’ll find a ton of Shutterstock photos & videos in PicMonkey’s stock library), change colors, emphasize points with graphics, and give your slides unique looks with textures and effects.

3. Use the Layers Panel to Navigate Between Slides and/or Add Pages

The Layers panel is your best friend when working on a multi-page design. Switch between the Layers tab and Pages tab to navigate your design. 

The Layers tab lets you select individual design elements to customize on a single slide. Click the Pages tab to navigate between slides, or use the blue page icon and arrows on the bottom toolbar.

Click the paper/plus sign icon to add a page to your design. The double paper icon lets you duplicate the page you’re working on, and the garbage can icon will delete the selected page. 

4. Download Your Finished Presentation

Download your finished presentation as a PNG/JPG (images only) or MP4 (video) file. PicMonkey Pro subscribers can also download as a PDF file.

If you download as a PNG or JPG, your file will export as a .ZIP file. Simply unzip and save the images to your desktop. You can download your entire project, individual pages, or select a page range. 

If downloading as an MP4, you have the choice to export as a single video file or individual files.

Presentation design is actually a combination of certain elements, which are text optimization, font selection, color and background selection, icon selection, and figures. If you want to have a perfect, totally polished presentation, you should pay close attention to each element. Here are five steps that will help you move rationally. 

1. Optimize text

When crafting a presentation, try to present the summarized information, without complicated wording and formulas. If you speak in public, reduce the text in your presentation to the minimum (remember that you can tell your audience all the necessary information). These simple rules will improve the perception of your PowerPoint slides design .

Hierarchy of text

Create a hierarchy in the text using font size, color, or boldness. Decorative fonts work well for headings, but you’d better not to use them for body text. Also, you can prioritize using information layers (no more than 2-3).

In terms of meaning, try to build your presentation on the following hierarchy: the main idea, the main content of the slide, details, explanations, clarifications, readability, and font size. Try not to center large paragraphs of text; use left justification. 

Tips: I recommend using from 24 to 28 points in presentations for public speaking, and from 12 to 14 points in presentations for sending and reading.

Check the text, so that it does not turn out nonsense. Some mistakes can be fateful, as they are offensive to your audience. People notice these flaws, and they can even point it out loudly, shouting from the crowd. 

Tips: I often found myself in a situation when I made a presentation with an error on the slide. It’s not the end of the world anyway, so don’t get too upset if it happened to you.  

2. Select font

The basic rule for fonts in a presentation is the following: 

Make it large and readable.

A font is actually a tone of voice that you are talking to your audience. It can scream, speak calmly, be playful, or strict. You can use the decorative font for the heading, but the rest of your text must be clear. There should be a visible difference between the header and the main font, although comments and notes can be simply in smaller type.

Tips: I recommend using no more than 2 or 3 fonts in one presentation.

3. Select color palette 

Color is an essential visual component of the presentation. Color can change the attitude of the audience — from aggression and focus to relaxation and friendliness. When choosing a color, you need to build on the corporate style or theme of your presentation. 

First, decide on the primary color, then select the color palette (or simply apply one). If you are performing in a dark room, try to use dark backgrounds, if in a light room, then light backgrounds are preferable. Focus color should not be used everywhere — it should stand out.

Tips: Integrate PowerPoint colors using the Eyedropper tool. The way the tool works is very simple — it copies the color and applies it to the selected object or figure.

4. Select icons

In three days, people remember only 10% of the information they heard. But if you illustrate the data with a picture or an icon, then the percentage will increase to 65%. Do not forget about this effect while crafting your slides.

Tips: There are many sites with icons, so you don’t need to be a designer to get them. The main thing is that you must use icons of the same style, in one color palette, complementing the text within the meaning.

5. Use figures

The first question that you may have is where to get these figures. Well, PowerPoint has plenty of them, and they are easy to find. Let’s see how they can complement and shape the presentation design. Some figures can help you assemble objects on a slide into semantic blocks. For example, you may use the line to separate the subtitled heading from the main text part. Focus can be created not only with color or size but also with graphic elements. Those elements can control the attention on your slide. 

Tips: The lines do not have to be solid; you can set the stroke length, put arrows at the ends, choose other settings.

There are three main criteria for a successful presentation: what you tell, how you do it, and what you show . Poor design will not make your presentation a failure if you are a skillful storyteller. But a beautiful and functional presentation design will definitely enhance understanding of the material.

This article is meant to give you the ultimate presentation design inspiration. It will provide you with vast resources, so you can master the art of transforming ideas into beautiful slides.

Putting together great-looking slides can be quite a challenge. The reason for this is that the overall process of designing a deck requires much more than just a keen eye for aesthetics. Creating a stunning presentation involves various disciplines, and design can only take you so far. This guide will cover all there is to know about presentation design, from the minute you sit down to sketch your ideas to when you publicly deliver your slides.

So whether you are a designer looking for some ideas for your graphic work, or simply a regular presenter who wants to improve the quality of your slides, you've come to the right place.

Why is Presentation Design Important?

Presentations are an important part of business communication because they allow people to share their thoughts and ideas with others. A well-designed presentation will be more effective than one that isn't designed properly.

A professional designer should consider all aspects of the design process, including colours, fonts, graphics, layout, and other visual elements. The designer may use software such as Adobe Photoshop or Illustrator to create slides that look appealing and convey the message clearly.

Probably the hardest part of creating a presentation is choosing what content goes in, what doesn't, and in which order. The success of the entire process relies on a solid story, so it's critical that you dedicate a fair amount of time to this part.

The overall process of creating a presentation looks (or should look) something like this:

1. Knowledge: A solid knowledge of the subject you're presenting is key. It will allow to convey your message naturally and provide the foundation of your presentation. Nothing inflicts more pain than listening to somebody spend two hours explaining something you could've learned on Google in five minutes.

2. Content: With great knowledge comes great content to support your presentation. Be picky with the sources of information you use, and make sure to attribute any relevant source of information as it adds credibility to your speech. Respect your audience, and provide something worth listening to.

3. Synthesis: The editing part is where most people fail the test, as it is probably the hardest and most thorough process of all. It implies getting rid of any unnecessary information, and focusing on small chunks of information that people will be able to grasp and remember. After all, people came to listen to you, not to read a manifesto from a projection. A poor editorial work is a slippery slope that leads to blasting your slides with an insane amount of data, causing the infamous Death by PowerPoint. We'll further detail best practices on this regard later in the article.

4. Outline: After you've successfully synthesized all the main ideas you wish to convey, it is time to arrange all the information into a logical presentation outline. Probably the best piece of advice I can give you is to do everything up to this point without even touching your presentation software . Scribble on a piece of paper, on your iPhone or on a computer if you must, but resist the temptation of jumping into your presentation tool for drafts until you've managed to complete all the prior steps. It will only distract you, and make you waste valuable time.

5. Design: FINALLY! The fun part, and the easiest (?) part as well! This is the moment to put a spell on your slides, and blow your audience away with a killer visual proposal. Now it's the time to jump into your presentation software, and make the most of the graphic resources. This article has a big section on presentation design inspiration and best practices so stay tuned!

6. Delivery: It's not over till it's over. You can have the most epic content, in the most stunning slides ever designed, and still screw things up by failing to deliver your pitch properly. The fundamental rule? Practice, practice, practice. You need to be able to deliver your deck even if the projector sets on fire. Most importantly, you need to make a connection with your audience. Otherwise, everyone's time is gonna be wasted.

Presentation Outline in Detail

Once you have successfully segregated all the most relevant content, you can now start planning how to present your ideas to your audience. The main objective is to guide your audience through your pitch deck , following a train of thoughts that's coherent and easy to follow. Each presentation has particular requirements, so there are no hard rules here.

Garr Reynolds, who is an internationally acclaimed communication expert, shares valuable tips on this particular stage in presentation making:

“...I usually use a legal pad and pen (or a whiteboard if there is enough space) to create a rough kind of storyboard. I find the analog approach stimulates my creativity a bit more as I said. No software to get in my way and I can easily see how the flow will go. I draw sample images that I can use to support a particular point, say, a pie chart here, a photo there, perhaps a line graph in this section and so on...”

This isn't intended to be picture perfect, nor to represent exactly how your slides will look like. In fact, this has nothing to do with aesthetics (yet). This is simply a draft to organize the key elements of your story.

Reynolds also quotes the McKinsey presentation handbook to explain the importance of this process:

“...presentation structure is paramount. Without it, your wonderful style, delivery and great supporting visuals will fall flat. If you took the time in the first step to outline your ideas and set them up in a logical fashion, then your thinking should be very clear. You can visualize the logic of your content and the flow of the presentation. If your ideas are not clear first, it will be impossible to design the proper structure later when you create visuals and/or supporting documents. Your audience needs to see where you are going…” All of this may seem obvious, but the awful truth is that the majority of people skip these steps, and jump into creating their slides right away. Starting by the details (slides) instead of the big picture (storyline) is like choosing what color you're going to paint a house before thinking about where you're gonna build it, or what materials you're gonna use.
“...And it is not enough to simply have an “agenda” or “roadmap” slide in the beginning that illustrates the organization of your talk. If you do not actually have a solid road of logic and structure, then an outline slide will be of no use. In fact, the audience may become even more irritated since you made the promise of organization in the beginning, but then failed to deliver the promise with a presentation which is muddled and lacks focus...” So, with all of this in mind, make sure you take enough time, and think about your story thoroughly. The easiest, most widespread way of planning your presentation outline is to use the three act structure:

The Three Act Structure

The idea of the three act structure used in presentations is that, after all, to present is to tell a story. It has been used for decades in theatre and cinema, and it is a fairly simple formula: you have three acts to tell your story, and each act serves a purpose to advance that story.

This is where you establish the origin or problem; in a movie that would be the first scenes where you get to meet the main characters of the movie, and the starting point of the movie's journey. In a presentation, the first act (in this case, the first few slides) is where you tell your audience about the problem you're trying to solve, and what the current state of things is for that particular subject. This introductory part is critical, since most spectators are quick to judge you based on the first seconds of speech. There needs to be a hook, a truth about your value proposition that motivates people to pay attention to you. Sometimes rookie presenters make the mistake of leaving all the good stuff for the end of their pitch, and by doing so they risk having enough momentum for the audience to even get to that point without falling asleep. Keep a great quote, a great stat, an alarming number for your first slides to shake your audience from minute one.

It usually begins with a plot twist. A sudden turn in the story that unfolds the main events of the play. In a presentation, this comprises the development of your pitch. It usually builds up as you move along in your slides, up to the point where you reach the climax of your entire presentation. This whole part allows you to explain what you're doing, how you're doing it, why you're the one to carry out the task better than anyone else, what is the vision you are pursuing, etc. Keeping your audience's attention gets even trickier here, specially for presentations that go beyond 30 minutes (it's hard to believe sometimes people talk non-stop for two hours). No one ever complained for a brief, to-the-point presentation, so don't stretch your second act for too long.

The highest point of interest, of immersion within the plot, should occur at the end of your second act. This is called the climax of your presentation, and depending on the presentation's purpose, it opens up the opportunity to do “the ask”. That can range from revealing your new product, how much money you are raising, the release date of a new project, etc. The audience is fully on your side if your presentation is compelling enough. After the climax, the third act is usually the shortest and helps summarize the main points discussed in your pitch and bring closure to your whole story.

How do you define what's pretty? Is there even a way to grade aesthetics?

“You recognize a great photograph when you see it, but how do you rationalize why you like what you like?

TWEET IT Turns out there ARE principles that rule the realm of design, and make us like, or dislike, a certain image or graphic composition. These are commonly known as design principles, and work on a subconscious level as we perceive the visible world in front of us.

I'll focus on four major principles that relate closely to presentation design:

Unity/Harmony

The ultimate goal of a graphic composition is to speak with one visual voice. This means that all graphic elements need to be coherent, and consistent throughout your design. Unity and harmony are achieved by different methods, such as sticking to 1 or 2 fonts tops, and using a color palette that is consistent on your different media outputs.

Unity is absolutely key when establishing corporate identity. A company needs to speak with a unique voice, and that covers from the obvious stuff (company goodies, corporate communications) to more complex outputs (i.e. marketing material).

There should be an intended order in which your graphic composition should be read, and that order should be obvious to the spectator. This is why establishing visual hierarchy is an important part of arranging content. Have you ever visited a website where you don't know where to start, what to click first, which navigation is global, or local? Well, those websites are perfect examples of poorly established visual hierarchies. The result? People become overwhelmed, feel lost, and quickly lose interest and leave. Conveying visual hierarchy can be achieved not only by positioning elements in an intended and well thought order; it can also be established by the use color, shape and text, and the relationship in size and distribution of each of those elements.

This poster is a great example of visual hierarchy. The reading order is clear, and the font size guides the user from the general to the specific.

Focal Points

“Focal points are areas of interest, emphasis or difference within a composition that capture and hold the viewer's attention. The focal points in your design should stand out.” - Smashing Magazine This means that not all areas of your design hold (or should hold) the same relevance. Emphasizing specific elements adds movement and ease of read, and keeps the spectator more interested in your content than if everything is arranged in a flat, uniform layout.

Not only is this a beautifully designed website, but also has a very clear notion of the page's focal points: the main one is clearly the product photo, second is the product's name, and third the zoomed details of colors and materials. The rest of the less relevant information comes next: other views of the product, secondary navigations, price (conveniently toned down as to let the user fall in love first before realising this is a 900 bucks baby stroller).

Similarity-Contrast

Similarity and contrast coexist in a delicate balance within the graphical space. Let me explain why: Similarity refers to the intentional repetition of elements in order for the user to get familiar with a certain characteristic. For example: when all chapters in a book begin on a right-side page, with the first letter of the chapter in capitalized and bigger font. The benefit is that the user doesn't have to figure out every time that he's reading a new chapter; the previous knowledge allows the user to instantly recognize the course of action. Contrast, on the other hand, refers to breaking similarity in order to draw attention.

I said they coexist in a delicate balance because too much familiarity makes things too repetitive and dull, and too much contrast increases cognitive load, and can be perceived as too chaotic. There should be enough of both in order to achieve a harmonious composition.

The same book in its different outputs for various devices. The user can quickly recognize visual references of the design's identity thanks to similarity, even though the virtual and physical formats have significant differences.

Now that you have a solid foundation as to how to structure your story, and how to use design principles to achieve better graphic results, you are ready to jump into some serious design inspiration for your presentations!

Best Slide Examples

We're gonna show you a curated selection of great slides, and analize one by one so you can grasp what was done and why it worked.

This is a great example of how to make a quote slide more interesting. Several elements make it so: the use of a background adds contextual depth, and makes the whole slide look more polished. Notice how the quotation marks are used in an unconventional fashion, making it stand out even more. The big (huge) font size makes the phrase completely stand out. The last thing to notice here is that there is no additional content on the slide other than the quote itself. This is usually the most effective way of including quotes on your presentation, as it grants the quote its proper relevance. Quotes are usually meant to make people question something, or reflect on a specific idea. Let people read it and don't distract them with more information until it is time to move on!

I've selected these slides as a great example of unity throughout a presentation. Notice how while the slide's content changes, the layout and element distribution remains consistent. This makes all the slides look like they belong to a single collection.

This is a stunning slide! And yet, it is a very simple one. What works here is the use of big, BIG font to emphasize a certain phrase. You almost feel the text is using up all the space available, even though it's only seven words long. There's a very interesting balance between the light font used on the six smaller words, and the bold one used for the bigger word. You almost feel the latter is popping out of the screen. The use of black background and white font contrasts work beautifully as well.

The reason why I chose this slide is not necessarily based on its aesthetics, even though it's a clean and decent-looking slide. The motivation comes from dedicating a slide to summarize what you'll be talking about during your presentation. This is fairly simple to do (if you have planned your presentation outline properly), and yet many presenters skip it entirely. It helps your audience set expectations on what they'll learn from you, and it pinpoints the main subjects of your pitch, so you can easily remember them if you happen to lose your train of thoughts.

I loved this slide for various reasons. The phrase itself is powerful and inviting. It is graciously displayed using several elements that work harmoniously together: the icon, representing the journey part; the user on the background with the wave thingys around it's head, reinforcing the user-centred concept; and last but not least, an epic color gradient that makes the slide look awesome.

I love this slide. Why? The background image is beautiful and represents the content perfectly. The font size is small, almost as if to let the image speak for its own. The text alignment is centred both vertically and horizontally, which for this particular image works.

This is a (far) more elaborate use of visuals, but boy, how nice it looks! I can easily picture those slides framed and hanged in an office wall. Sometimes “decorating” does serve a purpose, and that is of making something so darn good looking it ends up being memorable.

These I chose not only because they are presentation tips slides, but also because they are a pair of well designed ones. The second one specially because it reminded me of Timothy Samara's 20 Rules of Good Design; one of Timothy's rules is “treat type as image”. The clever use of line spacing in this slide is a graphical metaphor of the actual pauses needed during verbal pitches. Smart right?

Such a neat example. This slide is rather complex (vector textures in the front and back; a dimmed, blurry layer to soften the background) but it all comes together in a very nice and easy-to-follow way. The takeaway: a slide can be complex in it's design, as long as that complexity doesn't compromise the simplicity of the message. Always aim to have dominant elements in your slides (focal points, remember?), and make the rest of the elements more subtle in their form, color and position.

This variation of the two-column layout works pretty nice to make the slides look edgier. Word of caution: this kind of layout can become a little restrictive and work against you depending on the kind of information you wish to add, because space is limited considerably due to the askew grid. This kind of layout works better with fewer text and simpler graphics.

Another beautiful example of how vector illustrations can transform a simple phrase into an artsy composition. This of course is a very time consuming approach, and probably requires an in-house graphic designer to achieve it. But, if available, it surely pays off. In this kind of presentation, the presentation outline and content needs to be final, because the time required to prepare each slide cannot be wasted in last minute changes.

This slide is a great example of simplicity. The main differentiator here is colour, which turns an otherwise dull slide into a sharp looking one. When in doubt, less is more.

Chart slides have a strong tendency to be boring. This slide is a good reference on how to disrupt a chart slide. The heading merges with the chart to maximize the use of space, and editing the chart to remove unnecessary elements makes it look way more interesting.

1. Decide on the Slides You'll Use

Each of the premium PowerPoint templates comes with a variety of slides, and each slide has a few slide variations. Before you do any type of customizations or add your own content, you need to decide which slides you'll use. The easiest way to do this is to click on View > Slide Sorter .

Editorial: Exhibit Columbus design presentations prove popular

Several months from now, when we are basking in the lingering radiant warmth of late summer and early autumn, we’ll also be basking in the glow of visionary artistry that comes every other year with Exhibit Columbus.

Some of the world’s top designers and architects have been working on visions for public art projects for the last several months, and the community got a sneak peak at some of the plans last week.

More than any prior Exhibit Columbus, this year’s installations draw strongly from public participation. It’s even in the name of this year’s undertaking — “Public by Design.” And the crowd of about 350 people who turned out for last week’s design presentations suggests this year’s installations may be the most anticipated to date.

The Republic’s Brian Blair was on hand Saturday to see some of the visions for the 13 installations that four Miller Prize winners and local partners and participants are dreaming up for public areas around The Commons, Mill Race Park, The Bartholomew County Public Library and Mill Race Center.

“I’m struck by the sense of whimsy and play (in installations),” local artist Steven Newlin told Blair after viewing some of the early designs.

That playful aspect was mentioned by several people who got an early look at some of the big ideas from architects and designers, including Vishaan Chakrabarti of New York’s Practice for Architecture and Urbanism (PAU), Tatiana Bilbao ESTUDIO of Mexico City, Sara Zewde of New York City’s Studio Zewde and Christopher Marcinkoski of PORT.

The proposed installations range from reflective to audacious, but all are meant to draw new interpretations of their surrounding public spaces. And as Blair wrote, the works are still being formed by the public’s questions and suggestions. There is still time for input and public participation, and you can learn more at exhibitcolumbus.org.

Exhibit Columbus is truly a unique event that builds on our city’s remarkable collection of Modernist architecture, our creative and innovative legacy and our community spirit. This year’s installment intentionally pursued ideas organically from the people who know this city best, and so far, the public response has rewarded that approach.

Attendance at the design presentation was as high as those before the pandemic, Blair wrote, even on what was an unseasonably beautiful Saturday afternoon. Turnout like that bodes well for a successful run while the exhibits are in place, from late August through November.

Normally, 30,00o to 40,000 visitors come to see Exhibit Columbus. But we could see that figure soar. Because with the involvement of so many people in our community, each of them also can be an ambassador, further spreading the word about an extraordinary event that makes our community different by design.

Stick to a visual theme.

A cohesive look with consistent typography and a simple color scheme will help your audience stay focused on the content of your slides.

Keep it simple.

Avoid cluttering your deck with endless charts, tables, or bullet points too small for everyone to read. Allow for plenty of white space on each slide so crucial information stands out.

Find the right tools for every job.

How to design a presentation from scratch.

With some creativity, and these simple steps, you can create a custom presentation with InDesign.

1. Find the right page size.

Whether you’re presenting a keynote on a massive screen or creating for mobile devices, start by selecting the dimensions you’ll use for your presentation.

2. Choose your background.

Pick a striking background image that works with text overlay. The deck’s title can also become part of the background. 

3. Create paragraph styles.

Create no more than three text styles so you can keep the title font, body font, and footnote font consistent throughout the presentation. Set paragraph styles to change font and size with a click of a button.

4. Set up master pages.

Create a few master pages to help ensure your presentation looks professional and well designed. Add image and text frames to the master pages so you can drop your content in later without having to overthink the layout.  

5. Add images and text.

Drag and drop Photoshop (PSD) files, PDFs, Illustrator (AI) files, JPEGs, PNGs, or GIFs into the image frames. To add text, just copy and paste text files or select the Type tool from the toolbar and type directly into the text frame.

6. Add page numbers.

Insert page numbers to keep you and your audience on the same page. InDesign can automatically number the slides. 

7. Add finishing touches.

From movies and sound clips to hyperlinks, cross references, and page transitions, you’ve got plenty of interactive options to make your story more compelling.

8. Export your slide deck.

The final step is to export your presentation in a format that can be projected or distributed in any presentation program. Exporting as Adobe PDF (Interactive) lets you play or click through interactive content in real time during the presentation.

Insert one or more pictures, a list of items, or a list of dates.

The Designer panel will open. Select the design you want.

You can also bring up Designer by selecting a picture, and then selecting Design > Designer .

Designer enhances photos on a slide with a single click.

Transitions

To add a special effect, to transition from one slide to another:

Select the slide you want to add a transition to.

On the Transitions tab, select the effect you want.

Select Effect Options to change how the transition happens: From Right , From Left , ...

To undo a transition, select None .

To animate text or objects on a slide:

Select the text or object you want to animate.

On the Animations tab, select Add Animation , and select the animation you want from the drop-down.

To animate one line of text at a time, select one line of text, select an animation, select the next line of text, select an animation, ...

For Start , select When Clicked , With Previous , or After Previous .

You can also select the Duration or Delay .

This is probably one of the most fun design process I ever did in 99designs. I tried to give a more modern feel to the brand with bright popping colors and playing with font size dynamics. It didn't make the cut but it is one of design style I'd love to make.

Hi, everyone. Thanks for coming to this short presentation on our new product design. As you know, we've already redeveloped our 'Adventure' shampoo to make it more modern and appealing. And we've renamed it 'Adventure Tech'. Our market research established the target market as men in the 18–40 age range who like to be outdoors and also like technical gadgets, such as smartwatches, drones and things like that. We needed to create a bottle which appeals to that market.

So, today, I'm happy to unveil our new bottle design. As you can see, it's designed to look like a black metal drinking flask, with some digital features printed on it.

I'd like to talk you through the following three points: the key features, sizing and our timeline for production.

Firstly, you'll notice it has an ergonomic design. That means it fits smoothly into your hand and can be easily opened and squeezed using one hand. And, it looks like a flask you might use when hiking outdoors. The imitation digital displays are designed to remind the user of other tech devices they may have, such as a smartwatch or smart displays in their home.

I'd now like to tell you about the sizes. It comes in two sizes: the regular size and a small travel size. The travel size is the same type of design – a flask, also with imitation digital displays on the bottle. We were thinking of starting with one and following with the travel-size in a few months, but we've worked hard and both are ready now.

Finally, I'm going to talk to you about our timeline for production. You've probably heard that we're launching in two months. In preparation for that, we're starting the marketing campaign next month. You can see the complete overview of all phases in this Gantt chart.

In summary, the bottle's been designed for men who like adventure and technology, and it comes in two sizes. The marketing campaign is starting next month and we're launching the product in two months.

The last time I gave a presentation was during my BA course in marketing at university. It was about a lighter brand named Zippo. I had previously analysed the brand and then spoke to the other students about the results of my research. I remember that I had taken a lot of time for researching and obtaining information and minor data. Eventually, everything went rather well and I got a very good score because of the presentation.

The last presentation I gave was in a medical course in my university. It was about a scientific topic, that is the '' aortic arch '' - a large artery in our body-. I present with my group and I think it went so smooth and successful as we got a really good mark!

My last presentation was about two months ago. I needed to tell the audience the biography of one writer. But I did it with my group so it wasn't so nervous because I felt that I had some support. Everything was okay and we got good grades :)
